Who we are
Worklane is recruitment software for staffing agencies in India. It helps a recruiter read client requirements, find and score candidates, contact them, run a first screening call, send shortlisted profiles to clients, schedule interviews and follow up until a candidate joins.
Worklane is operated by the business that operates Worklane (“Worklane”, “we”, “us”). This policy explains what personal data we handle, why, who we share it with, how long we keep it and the choices and rights you have. It is written for people in India and follows the Digital Personal Data Protection Act, 2023 (the “DPDP Act”).
Who this policy covers
- Website visitors: anyone who visits this website.
- Account holders: recruiters and agency staff who sign in to Worklane.
- Candidates: job seekers whose details an agency handles in Worklane.
- Client contacts: people at hiring companies who work with an agency.
For candidates and client contacts, the agency using Worklane decides why and how their data is used. Under the DPDP Act the agency is the Data Fiduciary and Worklane processes the data on the agency’s behalf as a Data Processor. For account holders’ own details and for this website, Worklane decides how the data is used.

How we use data
We use personal data only for recruitment and to run the service:
- Turning a client's requirement into a clear job description, and finding information that is missing.
- Searching the agency's own candidate records and scoring candidates against a requirement.
- Contacting candidates who agreed to be contacted, understanding their replies and booking screening calls.
- Running screening calls, writing up the answers and scoring them against the role.
- Preparing candidate profiles for clients, scheduling interviews and sending reminders.
- Following up with candidates and clients until a candidate joins and the replacement period ends.
- Sending the recruiter a daily summary, keeping records of what happened, keeping the service secure and fixing errors.
How AI is used. Worklane uses AI models to read and structure job descriptions, CVs, messages and call transcripts, to score candidates (always with written reasons) and to draft messages. A person at the agency approves anything that costs money or reaches a client. AI-drafted messages to clients are never sent without that approval. The AI that places screening calls says it is an AI at the start of every call.
We only send real candidate data to AI providers whose terms do not allow them to use it to train their models. We do not sell personal data, and we do not use it for advertising.
Google user data
An account holder can connect a Google account so Worklane can send email from their own Gmail address and put interviews on their Google Calendar. If you connect Google, this is what happens with your Google user data:
Google data Worklane accesses and why
- Your basic profile: name and email address
- Why Worklane uses itTo show which Google account is connected and to send email from that address.
- Permission to send email on your behalf (Gmail)
- Why Worklane uses itTo send the candidate emails and client submissions you approve, from your own address, so replies come back to you. Worklane does not read your inbox.
- Permission to create and update calendar events (Google Calendar)
- Why Worklane uses itTo add interviews and screening calls you schedule in Worklane to your calendar, and invite the people involved.
| Google data | Why Worklane uses it |
|---|---|
| Your basic profile: name and email address | To show which Google account is connected and to send email from that address. |
| Permission to send email on your behalf (Gmail) | To send the candidate emails and client submissions you approve, from your own address, so replies come back to you. Worklane does not read your inbox. |
| Permission to create and update calendar events (Google Calendar) | To add interviews and screening calls you schedule in Worklane to your calendar, and invite the people involved. |
- Use. We use Google user data only to provide these features, when you choose to use them.
- Sharing. We do not sell Google user data or use it for advertising. We do not transfer it to anyone else, except as needed to provide these features, to comply with the law, or, with your explicit consent beforehand, as part of a merger, acquisition or sale of assets.
- People. No person at Worklane reads your Google user data, unless you ask us to (for example for support), it is needed for security or to investigate abuse, or the law requires it.
- AI. We do not use Google user data to develop, improve or train AI or machine learning models, and we do not send it to AI providers.
- Storage. Google access tokens are stored encrypted in our database in Mumbai and are used only by our servers.
- Removal. You can disconnect Google in Worklane’s settings at any time, or remove access from your Google Account permissions page. When you disconnect, we delete your Google tokens straight away.
Worklane’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
WhatsApp messages
Worklane sends and receives WhatsApp messages through the official WhatsApp Business Platform from Meta, either directly or through a Meta Business Solution Provider. We do not use unofficial tools or personal WhatsApp accounts.
- What we handle: your WhatsApp phone number, the profile name WhatsApp shows us, the messages and button replies you send, files you choose to send (such as a CV), and delivery and read status.
- Why: to tell you about a job opening, understand your reply, book a screening call or interview and send reminders. We do not use WhatsApp data for advertising.
- How we message you: first contact uses a message template approved by Meta. We only continue the conversation if you want us to, and we do not send messages between 21:00 and 09:00 IST.
- Stopping: reply STOP at any time and we stop messaging you straight away. You can also ask us to delete your data (see How to delete your data).
- Meta’s role: Meta processes messages to deliver them. Its handling is covered by the WhatsApp Privacy Policy and Meta’s terms for business messaging.
Screening calls
If a candidate agrees to a screening call, an AI assistant may call them on the agency’s behalf. It calls only people who said yes, only within calling hours (by default 10:00 to 19:00 IST, Monday to Saturday), and it:
- says at the start that it is an AI assistant calling for the agency;
- asks permission before recording, and does not record if you say no;
- offers a call back from a person if you prefer.
The recording, transcript and the answers taken from it (such as salary expectations and notice period) are stored with your candidate record and shown to the recruiter.
Consent and your choices
- We record consent for each candidate and each channel (WhatsApp, email, calls and call recording).
- You can withdraw consent at any time, as easily as you gave it. Reply STOP on WhatsApp, reply to any of our emails asking us to stop, say so on a call, or contact us. Automated messages and calls to you stop straight away.
- A person at the agency can pause all automation for any candidate, and can mark anyone as do-not-contact.
- When you create your Worklane account, you agree to the Terms and this policy, and we record which versions you agreed to and when.
- Withdrawing consent does not affect anything done lawfully before you withdrew it.
Where data is stored and how it is protected
- Our main database and file storage are in Mumbai, India.
- Some providers listed above (for example AI, messaging and error monitoring) may process data outside India. We only transfer data outside India as Indian law allows.
- Each agency's data is kept separate. Every record belongs to one account, and the database itself blocks access from other accounts.
- CVs, recordings and other files are kept in private storage and opened only through links that expire within minutes.
- Data travels over encrypted connections. Google tokens are encrypted when stored.
- Job portal passwords are never stored by Worklane and are never shown to any AI. Recruiters type them themselves.
- Approvals, messages, stage changes and data exports are logged, and the database is backed up daily.
No system is perfectly secure. If a breach affects your personal data, we will tell the affected agency, the people affected and the Data Protection Board of India as the law requires.
How long we keep data
- Account holders: for as long as the account is open, then deleted within 30 days of closing it, unless the law requires us to keep something longer.
- Candidates: while the agency is actively working with them. A candidate with no activity for 18 months (or a shorter period the agency sets) is flagged for deletion or for fresh consent.
- Call recordings and transcripts: kept with the candidate record and deleted with it.
- Google tokens: until you disconnect Google, then deleted straight away.
- Backups: deleted data can remain in backups for up to 30 days before they are overwritten.
How to delete your data
Anyone can ask us to delete their personal data. Here is how:
- Candidates and client contacts: tell the recruiter who contacted you, reply STOP and then ask for deletion on WhatsApp, or write to the contact details below with the phone number or email address we contacted you on.
- Account holders: delete individual candidates from inside Worklane, or write to the contact details below to close your account and delete its data.
- Google data: disconnect Google in Worklane’s settings or at your Google Account permissions page.
We may ask you to confirm that the request is yours. We complete verified requests within 30 days, confirm when it is done, and also delete the data from the service providers that hold it. We keep only what the law requires us to keep, and a note that you asked not to be contacted again so we can honour it.
Your rights
Under the DPDP Act you have the right to:
- get a summary of the personal data we hold about you, what we do with it and who we have shared it with;
- have inaccurate or incomplete data corrected, completed or updated;
- have your data erased when it is no longer needed or when you withdraw consent;
- withdraw your consent at any time;
- have your complaint handled by our grievance officer;
- nominate another person to exercise these rights for you if you die or cannot act yourself.
To use any of these rights, write to the contact details below. If you are a candidate, the agency that contacted you can also help. If you are not satisfied with our response, you can complain to the Data Protection Board of India.
Children
Worklane is for professional recruitment and is not meant for anyone under 18. We do not knowingly handle children’s data. If we learn that we hold data about someone under 18, we delete it.
